This article describes two ways Echo Administrators can give staff such as intervention specialists and counselors access to grades for the students they support.
Topics covered in this article
- Choosing an access option
- Option 1: Observer access to specific students
- Option 2: Staff+Support access
Choosing an access option
| Option 1: Observer access | Option 2: Staff+Support access | |
|---|---|---|
| What staff can see | Courses and grades for each associated student | Any student or course in the domain, through the Admin App |
| Best for | Staff who support a defined group of students | Staff, such as counselors, who need to look up many different students |
| Ongoing upkeep | An Echo Admin updates associations as the caseload changes | None after setup |
| Can make changes | No | No, outside their own courses |
Note: Both options give access to student records. Grant them only to staff your school has approved to view that information.
Option 1: Observer access to specific students
Echo allows staff, such as resource teachers or counselors, to be associated with a student as an observer. An observer can access the courses and grades of the students they support.
Note: The staff member's account and the student accounts must already exist in Echo before they can be associated.
Associating a staff member with several students (import file)
For a caseload of several students, use an import file. Full instructions are in How do I associate parents (observer) account with students using an import file?. The same steps apply to staff observers.
- Export User IDs for the staff member and the students from the Admin App.
- Create a .csv file with a unique identifier for the staff member (the observer) and for each student (the observee).
- In the Admin App, select Import observers from the domain menu and upload the file. [Confirm the menu label.]
Associating a staff member with one student
Checking the association
To confirm the association worked, do either of the following:
- Open the student's account and select the Observers tab.
- Open the staff member's account and select the Observed Users tab.
Once associated, the staff member can view each student's courses and grades.
Note: Update the staff member's associations when students are added to or removed from their caseload.
Option 2: Staff+Support access
Staff+Support is a separate permission set from the standard Staff permission. It includes everything a staff member can normally do, plus read-only access to the Admin App. It is intended for staff, such as counselors, who need to look up many students but should not be able to make changes that affect the domain.
What staff with Staff+Support can do
- Search for courses and users in the Admin App.
- Open a student's user detail page and view the Performance tab.
- Open and view courses.
- Create courses, as with the standard Staff permission.
What they cannot do
- Make changes in courses they don't teach.
- Create users or edit existing users.
- View Echo as a student (proxy).
- Change domain settings or features.
Note: Staff with Staff+Support can open the domain Settings and Features tabs, and controls may appear to change when clicked. Changes are not saved. When they leave the tab, an "Access denied" message appears and the setting returns to its original value.
Assigning Staff+Support
Your school's Echo Administrator assigns Staff+Support through the staff member's domain permissions. Full instructions for domain permissions are in How do I manage user domain permissions?
- In the Admin App, open Users from the left-hand menu and select the staff member.
- Select the Domain Permissions tab.
- Click Grant.
- On the Select Domain screen, select your school's domain and choose staff+support as the role.
- Click Close and save.
Note: Staff+Support replaces the standard Staff permission for that domain. Because the Staff+Support permission set has all the abilities of a regular staff permission, there is no need to grant both.
Once assigned, the staff member can follow the steps in How do I view student grades in all courses? Proxy is not available with this permission set.
